MASTER PROCESS

4. SITE BUILDER Sets up DNS & HOSTING

5.SITE BUILDER goes to tit.basecamphq.com, logs in.

5A. SITE BUILDER ENTERs DASHBOARD On right hand side find file: AAA Site Inventory

5B.Double ENTER the folder to open it

5C. Go to Files

5D. Open the latest SITE INVENTORY FILE

5E.Download to your desktop

5F. Open, enter the new URL’s into the last row(s)

5G. Save AS SITE INVENTORY (date) ex: 021010 (monthdayyear)

6.Accounting sets up payment criteria

7. Send email to Client (Control Expectations)

8. Add Client to Follow Up Sequences

 

GRAPHICS PROCESS

1.Receives copy of the VBS ORDER FORM

2. Review ORDER FORM and Confirm Banner Width

3. Take screen shot of Contact Page

4. Insert Screen Shot of Contact Page into program and label with CLIENT ABBREVIATION (ABBR) and Contact.

5.Create File Folder on Desktop for this CLIENT

6.Label File Folder: CLIENT ABBREVIATION + Graphics

7.Design banner, no more than 150 – 175 pixels tall. Put phone number in banner large.

Use the Client’s branding and/or colors…

8.Pull high quality jpg of Client Logo and Label with ABBR+Logo

9.Pull photos from Client Website – Consider pulling related photos from other sources such as GOOGLE IMAGES.

10.Make sure to label all photos with ABBR+(description of the photo)

11.Pull Brand Logos if appropriate and label with ABBR+(description)

12. Pull all other photos, affiliations such as Better Business Bureau, etc. and label in same manner, saving all to the CLIENT FOLDER on your desktop. Make sure all graphics are in the folder for this CLIENT!!!

13.AGo to BASECAMP: https://tit.basecamphq.com

13.B.Use PW and LOGIN information to open it

13.C. ENTER on Dashboard on top left if it is not pre-selected

13.D. On right hand side find the Client Folder

13.E. ENTER IT to open the CLIENT’s Basecamp Project File

(This is our online storage location for each Client)

13.F. Next screen is “Project Overview & Activity”

14.ENTER in the navigation area above, the red link “New file”

15.“Upload a file” screen is next

16. ENTER Browse. This will open a path to the File where all the graphics are stored on your computer desktop (or wherever you chose to set up the Client’s Graphics Folder.

17.Find the first of all the files to upload. ENTER it then hit SELECT or CHOOSE or whatever prompt your computer offers.

18. IMPORTANT>>>> Do not ENTER upload yet. We upload all files in your CLIENT Graphics folder at once.

19. NEXT… Go to: “No Category” dropdown menu

20.ENTER it and select “Pictures”

21.Then… Repeat ENTER Browse, find the next graphic, ENTER select or choose, and again… DO NOT PRESS UPLOAD until all files have been selected in this manner.

22. REPEAT the process until all files are uploaded.

23. Once you have double checked to make sure all files you created are located in the BASECAMP Client Folder, then ENTER the “All of Domain Marketing Resources” button and the “Tim Dillard” button underneath in the email notification area

24. NOW… press the Upload Files button. You will get a time to finish bar which will scroll from left to right. Depending on the size and number of files this process could take 2 – 5 minutes. Be Patient.

25.Then zip up the files and email the entire folder to: kim@topsintexas dot com.

26. Then, prepare an invoice and email it to: kim @ topsintexas dot com.

 

 

 

COPYWRITER PROCESS:

1.You will receive by email the VBS ORDER FORM. First review it.

2.Make sure to take note of VBS URLs. This tells you how many versions will have to be created of the same copy.

3.Then note if there are any additional pages in this order

4.Note the names of the Additional Pages

5. Note the Home Page H1

6. EXPLANTION OF ALL FIELDS:

A.Additional Pages tells you if there is a second and third page before the CONTACT page and after the HOME page

B.The “If Addl. Pages: Name them –“ field will give you the names of those pages, which will emphasize different keywords than the front page or Home Page.

C.Home Page H1 is the headline for the home page… Some editing here may be required

D.List Services – If we are to include a list of the Client’s services, this will appear here.

E.Customer Dictated Copy – Self Explanatory

F. Next is a list of “INCLUDES”…

G. Why Company? – The sub head for this part of the VBS is to say: Why Choose COMPANY NAME in TERRITORY + CATEGORY? (Remember… look at the URL’s and determine if the order of the primary keywords is TERRITORY + CATEGORY or CATEGORY + TERRITORY to write this sub head.

H. BigAdv. chooseIn TER CAT – This subhead is WHAT IS THE BIG ADVANTAGE OF CHOOSING THIS TERRITORY + CATEGORY

I.Free Est. in TER CAT? – If this Client offers Free Estimates, we need a sentence for that. The Subhead must read: Free Estimates in TERRITORY+CATEGORY

J.Wetobe your TER CAT co? – Subhead must read: We want to be the first choice for CATEGORY in TERRITORY

HINT: We are trying to win TERRITORY+CATEGORY and… and… CATEGORY+ TERRITORY… So, you can mix up the TERRITORY and CATEGORY order a couple of times.

K. Insured or n/a? – If they are insured and bonded, include a Subhead that says: Insured and Bonded, if appropriate. Then include a sentence under the subhead describing the advantages of the Client’s insured/bonded.

L.Hours is self explanatory. But include a subheading of that says: Hours, then list the hours underneath that.

M. In case of ermg? – Subhead should say “Emergency Hours and/or Emergency Contact”

N.Cust Testimonials – If the Client’s website has testimonials, then put them in this area.

O. What TIT says? – Tops In Texas does endorsements. Paste this copy

TESTIMONIAL FROM TOPS:

“Whether it’s a new roof in Kingwood for your business or home, or a quick repair to keep the water from leaking onto your computers, you can’t go wrong with ADMIRED CONSTRUCTION AND ROOFING. John Villareal is the type of man that you trust immediately. Some people just have that “reliable presence” and that’s John. And with the free estimates, what do you have to lose?!!!?” Just edit it and rewrite it… If necessary, have Tim call the owner and get some information.

P.Next… There may be a description of the brands to include information on in the copy. This may just be a graphic on the site, but you may also want to write a little copy if appropriate. This may or may not require a Sub Head.

 

REMEMBER: All subheads should be bold face.

 

7.Write the copy for the first URL.

8.Copy and paste the copy into the next page.

9.Search and replace the TERRITORY and CATEGORY words in two separate SEARCH and REPLACE functions with the TERRITORY and CATEGORY represented in the next URL.

10. Repeat this process for each URL in this order, assuming that they all have the same Category…

11.If they have different CATEGORIES, then the original process must be repeated…

12. Once you have finished the COPY and PASTE for all sites and have saved the COPY, making sure to label the saved file with CLIENT ABBREVIATION+Category words. Be consistent in how you label the Files.

13.NEXT… go to each page and change up the wording on several sentences per VBS page.

14. Now it is time to upload.

14.M.  If you had to create more than one file, repeat the process. DO NOT ENTER UPLOAD until you have selected all files. Generally, the copy should be in only one document file.

14.N. Then ENTER “All of Domain Marketing Resources” and “Tim Dillard” below in the email notification section.

15.NOW ENTER UPLOAD. The upload time bar will scroll from left to right. This will not take long.

16. Copy the File to an email and email it to kim at topsintexas dot com. Make sure to label the SUBJECT area of the email with CLIENT NAME and COPY and date. Put the date in this format: 021010 – if it was February 10, 2010.

17. Finally, prepare an invoice and send email to kim at topsintexas dot com.

 

 

SITE BUILDER PROCESS

 

BEFORE BEGINNING, you must log into BASECAMP and go to the CLIENT folder and ENTER on Files.

All copy and all graphics files will appear.  As you need each one, you will copy it and place it into your VBS.

 

1.Make Note of ALL URL's... These will be the Website Folder names that reside in the CLIENT FOLDER on left hand side.

2.Set up XSP PROJECT FOLDER with CLIENT COMPANY NAME and/or CLIENT ABBREVIATION

3. Scroll down to AAA MAIN TEMPLATE Site Folder

4. ENTER the plus sign (+) next to AAA MAIN TEMPLATE 1 time only

5. The AAA MAIN TEMPLATE website folder will appear.

6. ENTER it one time; It will turn blue... That's a sign that is is ready for one ofthe navigation choices above...

7. ENTER Copy button from above.

8.All Project Folder CHoices will appear.

9.ENTER the folder you just created for the new CLIENT... BUT... ENTER only 1 TIME.

10.Below is a blank text area called: "Web site name"

11.Fill in the name of the new Virtual Billboard Site... (VBS)

12.USE THIS FORMULA FOR THE NAME... If the URL is www.sugarlandchiropractor.com, the new VBS Web Site name is to be: SugarLandChiropractor.COM... Each separate word must have an initial captial and whether it is dot com or dot net or dot org, you must capitalize it... ORG... NET... COM...

13.The new name will appear in the new Project Folder as the new VBS folder

14.DOUBLE ENTER IT to load the VBS

15. The Web Site information page will load.

16.Change the Web Site Title to the name of the site: SugarLandChiropractor.COM

17. Paste all Keywords into the area for Keywords... But 1 keyword per line...

18. IF you add new keywords, then send an email to CLIENT REPORTER with the new keywords noted...

19. Write in the Correct Description following the format in the MAIN TEMPLATE.

20.THEN ENTER Page Layout TAB...

21.Change out the banner in the HEader Panel area... Make sure the widths are the same...

22.Make sure you change the Alt Text for the banner to something that is apart of the keyword mix for this CLIENT.

23.Close Header Panel Tab

24.ENTER on INfo Bar Tab... Determine if you need it and/or if it is the right color and width for the design you want.

25.Close Info bar.

26.ENTER on Left Panel

27. Determine a complimentary color for your design...

28.Determine what width you want this panel to be... based on what information you want to include here and what photos or images need to be placed in this area.

29.Skip Main Panel Header

30.ENTER on Main Panel and change width if you have changed the width of the left panel... The two will need to total the width of the Banner... which, unless changed, is a standard 800 pixels wide...

31. Make sure to change the right panel to the same color that you set the left panel to...

32.Check the weidth of all to make sure you have a FLUSH LEFT and FLUSH RIGHT VBS.

33. C;pse Right Panel Tab

34.Open Page Footer Tab.

35.Chane the color to match the color of the Left and Right Panels

36.Scroll down to designer button under the Page Footer Tab and ENTER IT.

37.Change the copyright to 2010 and the name of the site to the... name of the site!!!

38.ENTER OK.

39.Close the Page Footer Tab.

40.Open the Page Margins tab and determine if you want to change the color or add an image or play with the margin areas...

41.Once done, ENTER SAVE on bottom right.

42. ENTER the Web Pages Tab Above...

43.Change Title, Keywords and Description to fit the new VBS... Change your Menu Text on the Right to the appropriate Keyword rich primary target words...

44.MAKE sure the Menu item on the left hand side changes to the correct words...

45. If you want to add a page, do so here and make sure to fill in the same areas, emphasizing the new page's primary keywords...

46.ENTER 1 time back on the top page which will be the home page for this website...

47.Then ENTER the Design tab... Load your photos and copy into this area...

48.Do your formatting and make sure you have the right H1... headline... for this VBS...

49.On the subsequent sites, you need to re-write a few sentences and sub heads. ON SUBSEQUENT VBSs for this CLIENT... YOU MUST... repeat... YOU MUST... cut and paste and move around paragraphs of information and rewrite a few sentences from VBS to VBS...

50.Make sure you BOLD all the sub heads.

50.A.MAKE SURE ALL IMAGES have alt tags that have keywords related to the VBS.

51.Make sure the CLIENT's services are in place if noted on the VBS ORDER FORM.

52.If the CLIENT wants a form, then add the form to the home page... OR... you may choose to add it to the left panel area... Your Choice...

52.A.Make sure Contact Page links to the CLIENT CONTACT page if that's what the instructions say...

53.ENTER SAVE

53.A.Change Text, URL and Title of link to what is appropriate for this VBS.

54.ENTER Publishing Details

55.Fill in all information

56.ENTER SAVE

57.PUBLISH...

58. Then EXPORT site to your SITES READY FOR BASECAMP folder.

59.OPen up Your BASECAMP Window...

60. Go to same CLIENT FLODER, if not still open...

61.ENTER Files in the Top Middle of the Page.

62. ENTER New File

63. ENTER Browse.

64.Find the File and select it.

65.THEN... hit the dropdown menu and select the FILE: VBS FILE.

66. Then Select All of DMS in the EMAIL section below.

67.Then hit upload.

68.  COPYWRITER receives Email.

69.Copywriter calls up the site and checks for errors...

70.Copywriter calls up the site on the web and checks for errors...

70.A.Things to check... All alt tags on all images... All spelling... Layout... Test all links... Make sure graphics OK... Same with photos...

71.COPYWRITER goest to Basecamp and opens a new WRITE BOARD with the errors for this sites...

72.COPYWRITER checks SEND TO ALL DOMAIN MARKETING RESOURCES, then hits submit.

73.The SITE BUILDER makes the changes, then goes back to the same write board in BASECAMP and notes when the changes were made.

74.Then, the SITE BUILDER checks the SEND TO ALL DOMAIN MARKETING RESOURCES and ENTERs save.

75.Tim forwards email to salesperson.

76.SALESPERSON sends email to CLIENT sdaying SITE LIVE, CHECK FOR ERRORS... and Begins this sequence in INFUSION SOFT.

77.IF CLIENT has changes, they will forward them to the SITE BUILDER who will repeat the WRITE BOARD process...

78.Once the site is changed, the CLIENT is sent a, "What to expect email..."
